Practical perspectives for accreditation coordinators, chairs, and faculty leads.
The fair practices standard reaches beyond the department: it governs what prospective students and the public see about your program. What CAAHEP requires you to publish, where it must live, and how to keep every page accurate.
Skills check-offs live in a binder, case logs on a student's laptop, and the competency tracker on the coordinator's desktop. CAAHEP's Standards name the competencies your graduates must demonstrate — and many say you must document that they did. Here is what the process requires, how two CoAs spell it out, and what a review-ready record looks like.
Retention and credentialing results arrive from upstream systems. Graduate and employer satisfaction don't — they exist only if you build the instrument, the send date, the reminders, and the file where the results land. Here's what the CAAHEP standards actually require, and how to record the results so they hold up as outcomes evidence.
A program moves, adds a degree, or changes hands, and the coordinator isn't sure whether it has to tell the Committee on Accreditation — or when. Here's what CAAHEP's standards actually require, and the record to keep so nothing slips.
Your self-study personnel section is evidence, not an HR afterthought. What your CoA actually requires of your program director, medical director, and faculty — and how to keep the files current between reviews.
Your CoA's Standards name the competencies every graduate must demonstrate, but the map from those competencies to the courses that teach and assess them usually gets rebuilt from scratch at self-study time. Here's how to build it once, keep it current, and make it review-ready.
Your CoA's annual report comes back every year, for the life of the accreditation — and its numbers live in four systems that were never designed to talk to each other. What goes in it, why submission week turns into a scramble, and a six-step workflow that turns it back into a form.
CAAHEP requires a formal agreement with every clinical entity and documented preceptor records at each site. What the standards demand, where your CoA adds requirements, and an annual routine that keeps the file current.
The program advisory committee and the annual resource assessment are two CAAHEP obligations that quietly collect dust between site visits. What each requires — and why treating them as separate afterthoughts gets programs surprised.
CAAHEP's core program outcomes — retention, credentialing, and placement — are a calendar-year obligation with a formal annual report. What to track, who sets the bar, and what happens when you fall below threshold.
Most post-secondary institutions run five to fifteen accredited programs across different frameworks, each with its own coordinator, its own spreadsheets, and its own timeline. Here is the case for one evidence system across all of them.
Your program isn't reviewed by CAAHEP — it's reviewed by one of 25 committees on accreditation. What a CoA actually does, how the 25 line up across roughly 30 professions, and how to find yours in thirty seconds.
The site visit has two parts, and CAAHEP names the first one: preparing for it. A step-by-step guide — the CoA that owns the visit, the phases to work backward from, and the data that can\u2019t be built late.
The CAAHEP accreditation process in nine steps: the self-study your CoA expects, the site visit, the board calendar, and the part everyone underestimates — staying accredited.
The accreditation report has arrived. The findings are clear. Now comes the hardest part: turning recommendations into improvements that actually happen before the next visit.
The self-study is one intense stretch of an accreditation term that can run for years. The time between visits should not be a blank spot. A practical annual review checklist that keeps evidence current without adding hours to your week.
The visiting team has left. The findings are addressed. Now comes the hardest part: keeping your evidence current over the years until the next visit. A practical framework for mid-cycle maintenance that prevents the self-study scramble.
Most accreditation failures are predictable. Learn the framework top coordinators use to find risks early, prioritize fixes, and enter visits with confidence.
Treating accreditation as a once-every-six-years sprint costs far more than the late nights before the visit. Why continuous evidence collection saves time, preserves institutional knowledge, and makes the self-study a formality rather than a crisis.
Your accreditation coordinator is leaving with two weeks' notice. The spreadsheet that holds the entire evidence map is on their desktop. The visiting team is 18 months away. Four principles for building systems that survive staff changes — plus three actions you can take this week.
Faculty resistance to evidence collection isn't laziness - it's unclear expectations. The coordinator-faculty evidence gap is a major source of accreditation stress. Understand why it happens, how to reframe the conversation in terms faculty care about, and four practical steps to close the gap starting this semester.
Most self-study reports read like compliance exercises. Learn what visiting teams actually look for — self-awareness, traceability, and closed-loop improvement — the five common narrative failures that undermine even strong programs, and practical tips for writing a section on continual improvement that holds up to scrutiny.
A practical guide to the on-site accreditation visit: the day-by-day schedule, what the visiting team is looking for in faculty interviews and student interactions, the facility tour, common coordinator mistakes, and how to prepare every participant for the interactions that shape the final report.
You collect assessment data every term. Six months later, most of it is sitting in a folder nobody has opened. A semester-by-semester maintenance routine that keeps evidence current, mapped, and usable — covering the four failure points that break assessment data management and the practical steps to avoid each one.
Academic programs change courses every year. A practical framework for tracking curriculum changes, updating evidence maps, and keeping indicator coverage intact: the four types of changes, a step-by-step update process, a curriculum change log template, and the annual review that prevents evidence drift.
Every self-study has a curriculum map. Most of them are spreadsheets that don’t survive contact with reality. A five-step process for building evidence maps that hold up when the visiting team asks to see them.
Eighty percent of accreditation work falls on one person. Evidence collection is the bottleneck that kills every timeline. Five strategies that actually work — from specific requests and staggered deadlines to the progress visibility that replaces the nagging email — plus a six-step action plan you can start this week.
Evidence goes stale when courses change, faculty leave, or assessment methods shift. A practical four-step process for reviewing accreditation evidence: inventory what you have, validate that it still represents current practice, assess whether it is strong enough to support your self-study claims, and close the gaps before the visiting team arrives. Includes a complete review checklist and a three-point review cadence that prevents end-of-cycle scrambling.
The number one reason programs receive “areas of concern” is poor evidence quality — not because the program is bad, but because the evidence doesn’t prove it’s good. What visiting teams actually look for (relevance, recency, verifiability), the four mistakes coordinators make that committees notice immediately, and how to build evidence that holds up.
CI is consistently the weakest section of accreditation self-studies. Not because programs don’t improve, but because the documentation trail doesn’t prove it. Why the traceability gap exists, what visiting teams actually look for (closed loop, impact demonstrated, embedded in practice), and three steps to fix your CI documentation this semester.
Five evaluation criteria that matter more than any demo, one question most coordinators skip until it is too late, and a simple scoring framework you can use to compare options objectively. For the coordinator who is past the “maybe someday” stage and actually considering a tool.
The 90 days between the confirmed visit date and the visiting team's arrival are among the most intensively worked periods in the accreditation cycle. A structured countdown plan running four parallel workstreams — evidence finalization, self-study completion, faculty engagement, and logistics — with specific deliverables for each 30-day phase.
A practical six-step guide for accreditation coordinators building an evidence map from scratch: start with your accreditor's criteria, inventory existing evidence, map courses to attributes and indicators, close gaps using the three-gap framework, set up semesterly maintenance rhythms, and choose the right tools. Includes a realistic one-week starting plan that any coordinator can execute immediately.
Everyone is telling you to use AI for accreditation. Your LMS vendor, the consulting firms, the enterprise platforms. Nobody is telling you what it will actually do for your self-study workload. A practical guide to which accreditation tasks are worth automating with AI and which ones will create more work than they save.
Too many programs spend most of a CEAB accreditation term doing nothing and the last stretch panicking. Understand the four phases of the accreditation cycle — post-visit resolution, continuous improvement, follow-up reporting, and self-study preparation — and what to do in each one to close the readiness gap.
Most accreditation coordinators are doing remarkable work with remarkably inadequate tools. Five signs that your spreadsheet-driven process has outgrown itself — and what a modern alternative looks like.
